Modification of Schemas (Drawings/Prints)

Hi all

I'm little bit confused

Sometimes, we receive from colleague schemas or drawings modified by themselves. These dwgs are owned by our company, from the main board, and we used them as that, but when there is some changes in the equipments, addition of new component to one system....etc, colleagues get copy of the dwgs, record the modification with colors or add it with it application and bring it to us to update the related document.

I wonder if it is appropriate all this stuff, as instance, i got an argue with some of them because they get dwgs, erase the design drawn on it and made their schema and forgot to erase the information of the previous dwgs such revision number, authors, ....
Seeing that, we seek of the previous revision to retire it from document, when we didn't find it, the designers confess that they just used another dwg form to draw the new system just created!!!!

Is that compliant with copyright matters and control documentation as well ? I’m not sure

At its heart, there is nothing terribly wrong about marking up existing drawings to indicate desired changes with red lines. The difficulty you are experiencing is that these folks are not consistent in what they are making requests for you to examine and approve their "suggestions" as revisions to current versions of engineering drawings.

The basic point you need to make is whether these are "one-off" changes applicable to a single piece of equipment or whether they are suggestions to be approved and incorporated into all [similar or identical] equipment.

In the case of one-offs, the modified drawings are a record of "as built" activity and may be redrawn and given a special identity as applying to only that piece of equipment (assuming the same equipment in other locations are not so modified. This is a very common process in after market modifications to aircraft and drawings are identified by adding "applicability" notes indicating by serial number which aircraft the modification has been applied.

When the modification is intended for future modifications on other existing aircraft (retrofitting), the drawing may get a new revision number and a systematic recall instigated to retrofit all equipment in the field as well as introduce the modification on new equipment yet to be built.

The key is to create and USE a system so changes are approved and recorded. Reference might be made to aerospace "redlining" systems to get an idea of what to include in the system. I discussed this briefly here

Above all, you want a workable system which is easy for users to understand and follow.

thank you for reply
actualy, the process for review and desing change is approprialy monitored and no problem on it.

as i've said, my confusion was about the fact that folks use a a drawing to record an addition of new equipment to one system, modification done in some system, as remove of some component, replace it with others one more efficient, ...stuff to improve system.
my worry was basicaly relating to be non compliant with copyright regulations since it is schemes belong to main office or done via external service provider.
