Suppose, that in one procedure, it´s produced a record
do you mention in every procedure the record produced and all its data?
(retention, where is stored,etc.) or the full information of all records are referred
in other document?

We don't define records to all its data. In the course of a process flow we will state where to save a record if applicable. The records matrix is structured by ISO elements and calls out the documents needed to demonstrate conformance to that element. The party responsible for the record is listed and the location of the document, which may be a higher level folder containing sub-folders, and the
minimum retention period. After the minimum retention period they may be disposed of at any time but for network based storage most documents are kept indefinitely.
We do our audits based off the process but by organizing the records matrix by elements it was easy to see we got the bases covered.
Right or wrong, that's our procedure for controlling records. We might overkill, as we often do, but the auditor liked it.
