Numbering or Naming (Identification) of Generic Company Specifications?

Hi all

One point in doubt, please feed me back

In our company, we have implemented a Quality System also established the naming for documents. e..g PRO-ENG-0001, PRO-HR-0002,ect

But in the last time we have had the need to produce specifications (e.g. Painting practices) for our projects.

The idea is this spec should be used for all the projects.

My question is: How this spec. should be numbered? Could be like "Specification of painting"? or give it a name of ISO documents? e.g.
PRO = procedure
WI =work instruction
SP-ENG-001
(spec-eng. area-consecutive)

What is your point of view?

Reading this and your other questions about numbering, makes me wonder what you are intending your numbering system to help you with.

How do you currently store and retrieve your documents? Do you have paper binders, or a file server, a database or something else? Do you use the numbers to actually find a document? If so, how?

We may be better able to advise once we understand your storage/retrieval/usage system for your docs.

Well, I store the documents in a file server organized by levels lets say ín folders named Level 1
level 2, Level III
Inside of them, for example in the III level

Are stored the documents in this way

PRO-ENG-001 Development and design
WIS-ENG-002 How to number engineering documents
and so on....

they are easy to retrieve by browsing into the folders

Muy Main doubt is about standard specifications, how are to
be named, following ISO numbering or just the name?

Important is to note that these specs are to be used
in all the projects (are like standards)

I think comment #7 in this other thread addresses this question, but it may require a change in the platform that you use to store your documents.

If you are constrained to a hierarchy of folders in a server, then I'd think that you'd place all your specs into a single folder. The document names should be short but clearly indicative of the contents. IMHO, codes are not very useful to anyone but the person that came up with the code.

I wouldn't use the ISO clauses to name or refer to any of my QMS documents regardless of what method of storage we were using.
