One procedure to have 3 sites own procedure no.

Greetings,

Currently, 3 sites have their own WIs & use their own doc no. format. Due to customer complaints, we have to start to use a common copy for 3 sites.
If we merged 3 sites doc contents into one copy but indicate 3 sites procedure no, will it violate ISO requirement and get NC during ISO audit?


Pls help, thanks in advance.

1. From which site production the customer complaint was traced to ?
2. Is the procedure of the complaint identified site different from the other two sites ?
3. Can you not update the specific site procedure from the learning gained in addressing the complaint, and as an extension of the action revisit and review the other sites procedures and update them also as necessary ?
4. By this it can still be a common copy yet having the ongoing control by each site as existing.

You may combine all three in one doc and still indicate three procedure nos. for three sites viz: 1A-1, 1A-2 & 1A-3, with the rider that this be clearly spelt out in your 'Procedure Order'.

:read: What you are proposing does not violate any ISO requirements. The standard specifies WHAT must be done but does not specify HOW to do it. The HOW part is left at your/organization's discretion and is defined in a procedure (note that I did not say documented!). You will not get any NC as long as you can demonstrate that the documents are controlled in accordance with your procedure and in compliance with the requirements.

Here's some food for thought: where does it say that the procedures (or any other docuement for that matter) must have a number? Why not call the procedure by its title so everyone knows what it is when searching for it on a network or in a binder?!? This way you don't have to worry about one document with three separate numbers.:bonk:

What is the root cause of the problem?

I would spend some time analyzing the situation and find the root cause, then address the root cause.

(combining the 3 doc. control systems might not solve your problem).

Do not jump to conclusions and only addressing the symptoms.

I have three different locations with essentially the same documents/procedures. The basics of them are all alike, but each is fine tuned to be site specific. I also have separate location name at the top of each one, so it specifies which location it is targeted towards. The revision Nos don't stay the same if I need to make a site specific change to them and not the other sites. I have never had any issues with having it that way yet. :cfingers:

Hi all, thank you so much for the reply.
As per management decision, all three sites procedures will have to review & combine into one except for those general practice. This is to standardised the same process & to adopt the best practice.
