Organization of a Shared Network Drive

Hi covers
i've been assigned the task to organize the shared drive.
the first step is finished and it was categorized according the activities, depart members, and right access...additional of documentation matters.
The second step is to established a kind of short explanation of each repertory about what it is expected to involve as documents.

Here i think that the wise think to do is to make just general rules such as: to highlight the draft document from the finalized one; to be aware to not publish the same document in 2 or more location..kind of document....etc.
While others think that it has to be a lock of the framework of each repertory inside the drive. it means to state which document or folders can be located in one repertory. honestly, i'm not convinced about that since the document stored or published in the shared drive cannot be fixed for long term because it is changing according the need.
what is your opinion about that? did you ever did that kind of exercice?:)

I would make a chart, even if it is something in Excel, which defines the layout/structure you think the drive should have and as you make that assign the rules for each directory ('folder' in the Macintosh world). I would think it will take some time to decide exactly how you want the drive laid out. Try to approach it logically.

If you lay it out in Excel you can use the 'Note' feature for cells to state the directory permissions (and other information) in.

You never want the same document in different locations.

Something else to think about: How do you retain Obsolete Documents?

i got this advice to make it in excel but since, as you said, we cannot establish definitively the final contents of the whole folders; i've preferred to make just one small note inside each folder to have first a complete idea about the final landscape; later we will see this
but my concern is how to fix each content while some activities are really specific

Excellent post Selena. I am glad to see this kind of projects because it will bring good order, and good order is the beggining of good things.
