... Once you have chosen, you are more or less stuck with your decision. It can be a real headache to change it later, so take your time.
I can second that, Claes! When I first arrived at my current job, the numbering system was cumbersome and confusing. Shortly after settling into my new job, the doc ctrl clerk and I worked together to develop a simpler and more logical system. The enormous quantity of procedures, work instructions, formulas, specs, etc. in the QMS all must be changed (DCR'd in our case) to reflect the new numbering system. We've been working on this elephant one bite at a time, though, slowly plugging along. We've made much progress, but there are still many more to be revised.

In a previous life, we used a similar system as described by Discordian and it worked well, if a little cumbersome with all the alpha-numeric designations.

How big is your organisation and your documentation?

The documentation requirements are so nicely trimmed today that I find a simple numbering sufficient.

QM - Quality Manual

P99 - Process including Flow Chart / Procedure

W99 - Work Instruction

F99 - Format

If you have a larger volume, our friends have already suggested adding the department / function code.

Everyone has provided good suggestions here. It really depends on what works for the Company, for ease of following, and simple understanding.

We use XXY-##

Where XX is the 2 leter department coed, Y is the type of document and then ## is the document number.

QA = quality dept
EN = engineering dept
PR = production

P = procedure
I = instruction
F = form

so and example is QAF-5 which is quality dept. form number 5, or ENI-45 which is engineering work instruction number 45.

Why not just keep it simple and esy to use?
Randy - I agree with trying to keep it simple. I find our system works well due to the large number of documents we are working with. On our network drive there is a folder for documents and then a folder for each department. By puting in department codes, it allows people to find their documents faster. I think for a smaller place, having only a number would work well.

1.1,
1.2.1,1.2.2,....
......
8.5,
8.5.1,8.5.2,
and it's working fine for me.But there are large organisations whose data is huge,there fore they have to demarcate their data department-wise,hence alpha-numeric system works better for them.Bottom line is,it is the user(OP) who has to decide what he is comfortable with.

8.2.2-C2 = 2nd Procedure under this section
etc....
8.2.3 = Measuring and Monitoring of Product
8.2.3-C1 = 1st Procedure under this section
8.2.3-C2 = 2nd Procedure under this section
etc....

Makes it easy to know what section a WI is Refering to.
