QMS Documentation Process - I want to put all the Process SOPs to a QMS system

These days the QMS is part of the business management system; much of which will not be documented.

Some questions to clarify:

1. Do your SOPs reflect the way your organization actually converts the needs of customers into cash in the bank?

2. Is top management relying on the SOPs to explain how their organization works as a system?

3. Do the leaders, at all levels, show how the system prevents nonconformity when fulfilling customer requirements?

4. How are the SOPs currently used by their process teams?

5. Do the users have ready access to the computer network?

Kindly clarify the problem you have.

NO

2. Is top management relying on the SOPs to explain how their organization works as a system?
YES

3. Do the leaders, at all levels, show how the system prevents nonconformity when fulfilling customer requirements?
YES

4. How are the SOPs currently used by their process teams?
It is kept in a share drive for everyone's access and there is no specified norm for using/changing/updating it.

5. Do the users have ready access to the computer network?
YES

So, your QMS is separated from your organization's business system which determines how opportunities are fulfilled while managing the risks?

Better to merge the two to reflect the one system that is used and improved to determine and fulfill customer needs.

You could make sure that the upkeep of every process and its related documentation is the responsibility of the person who knows how the process works from end to end. Top management selecting the best people as process owners may also address your concerns about monitoring the usage and continual improvement of your system, its processes and its SOPs.
