Quality Jobs, Titles and Job Descriptions

Hi all,

In my company they hired me as a quality officer, however like my previous job there is no job description.
Now I get a permanent contract and I requested a defined job description to get mutual clearity on the content and authority within the job.

Since our company is in a growth process, they told me that they don't have experience (my function is the first in house permanent quality job) with quality jobs and asked me to give them an overview of the different quality jobs and their responsibilities.

I know that much is related to the company itself as I already have read on this forum, but maybe it is beneficial also for others to have a general overview to go on.

I've made a draft set-up (attachment) I would like your input!

Many of the separate QC jobs have become part of process control.

In a world of process based management systems, quality is assured by everyone using their parts of the management system to determine and fulfill requirements.

Collectively we deliver confidence that requirements will be fulfilled (aka QA).

The organizational management system needs a manager to ensure it helping employees to determine and meet requirements.

Consequently role of the System Manager is becoming important.

Accordingly, you may be interested in a Job Spec for the modern System Manager (Quality Officer?).

How much detail do you need? The job description/training forms for my (very small) company are much more detailed compared to your attachment.

I concur with John that a System Manager job spec is a great place to start...

Unfortunately, to many in upper management and to many of the bean-counters, quality is this mysterious ?thing? that exists separate from the actual company. In some companies it almost has a black box aura. This is why a lot of companies have such poor job descriptions and responsibility descriptions. Fortunately I don?t think this is as prevalent as it used to be.

I know nothing about your organization's size and requirements, but I'm going to go ahead anyway and suggest that having seven layers of hierarchy in Quality may be a bit convoluted. Perhaps you feel you need that. However, I used to work for a large multinational aerospace company where we only had 4 levels; Director, Managers, Engineers, and Analysts.

Ok thank you for your input.

My intention was not particulary to focus on the need of my own organisation but within this forum to get an overview of what we think that is a general overview of the most common quality jobs and their responsibilities. This might help others.

For my own company, we have operators that do in process testing, a QA officer and that's it. I want to give my company an overview of the jobs

-Test operator
-Analyst
-Quality manager
-Group quality manager

And the responsibilities that go with it.

My two cents as a optimist and a capitalist...

Your company just asked you to write your own ticket .
This is not a burden, it is an opportunity.

What do YOU think should be done?
What do YOU want your role to be?
What can you put in YOUR job description that would make it exactly what YOU would want?

{within reason} I would take this as,
"You are here and we are paying you. Tell us what do you want to do and you can have it."

This is an opportunity like in a job interview to sell to management how valuable you are and how hard it would be to replace you. Don't miss out on the opportunity.

But I need to keep my integrity ofcourse and find (specificaly for my role) a good match between own interest and company interst.

Is there any chance of an update? I have a genuine interest and there's at least the hint of a similar situation here.

As far as my thoughts on the subject, I say go as simple as you can to be effective. I worked in a four/five "layer" quality department (Director, Manager, Engineer, Auditor, Technicians) and their best aspects were communication and an exchange of ideas. The team meetings gave each member the opportunity to demonstrate their value to the team. It wasn't perfect, but it worked. And the director never got directly involved for the most part, which was good.

Just my thoughts.
