Receiving Inspection - What is the best way to handle the C of C's, test results, etc

Looking for advice, I'm setting up our receving department to meet ISO requirements what is the best way to handle the C of C's, test results etc provided by our vendors?

My president wants as much items in digital format as possible. Any ideals?


We have our PO system and Job summary card for inspections in electronic format. I was thinking that the C of C's and any other associated paperwork can be scanned and attached to the electronic PO which can be recalled and reviewed.

At my company we scan all certifications into PDF format and store them on main or frame with off site back-up. Remember ISO Clause 4.2.4 requires that records must be protected from loss (I.e. computer crashes and documents are lost) and that they can be retrieval through out the retention time (I.e. we don’t have the software to open the file).

A little planning based on the requirements of Clause 4.2.4 should prevent most audit nonconformities.

I think you and Jeff have it nailed. Just make sure the scan resolution is high enough -- some of that stuff has darn small print!
