Revision History in an MS Word document

Hello,

I am looking for a sample revision history in an MS Word document. I prefer to document all the changes in a separate document (not in the revised procedure itself). The changes that should reflect in the revision history are the deleted items only. Our QMR wants me to reflect the change as specific as it should be. Meaning if I deleted one word in the first paragraph, deleted two sentences in the second paragraph, and another five scattered words in the third paragraph – all those deleted items should reflect in the revision history.

Added items in a document, on the other hand, need not to reflect because we underlined the exact changes in the procedure itself.

I can't imagine how revision history will look like once so many deleted words or sentences are entered especially the scattered ones.

I would appreciate if anyone could share me a sample revision history.

Yikes - that's a lot of detail to track! (I hope there's a good reason for doing so)

If you're looking for an example, why not use the one from the latest version of ISO 9001 (Table B1 in the 2008 version) showing the differences?

Hi,

I am with Jane on this one - I can't really see any benefit for such an administrative overhead. While I would never recommend this approach - if you are forced down this path, the easiest solution may be to use Words track changes functionality. It will then show exactly what has changed - and you can change the view to see the changes - or hide the changes to just view the final document - or even show what it looked like before the changes were done.

Attaching the template of Change History - this is my favorite template :).
i second that. it should only be one or two lines. iff you need to know the exact changes, just compare the two docs.

what about using some kind of task manager to also keep track?
eg outlook tasks
sharepoint workflows
any expensive edms
something cheap like an isssue tracker.

There is a way to do this in MSWord for the level of detail you described.

If you have the old version in Word, and the new version in Word, you can use the merge function and it will show you every single change made. You can even go one step further, and print to Adobe PDF the list of changes. You have to select that from the drop down box when the print pop-up screen shows up.

It only takes a few seconds, but no one finds the information at this level of detail useful in our organization.

We have an executive summary of the changes at the end of the document. Caution though, this only works if the person updating the document remembers to include it in the first place. (It's a discipline thing :whip:)

We use a simple format as below. The description field lists the Change Request (CO, ECO, DCO...). The Change Request lists the details of the change and the approvals.

Welcome to the forum.

Revision is commonly used. Version is more used in soft-wares.

Either is absolutely fine.

It's a matter of your preference.
