Standards & Standard Maintenance - Knowing what the latest revisions are

I am not sure this is the correct area for this discussion, but there seems to be other topics in this area here as well...

I work at a small fabrication shop (we stamp, laser, machine, and weld). As part of a new customer's PPAP requirements, they are requiring a copy of the latest specs we used to produce their parts. Currently we have a smattering of different ASTM specs, and ASTM spec books. But we need to make sure that we always have the most recent. How does everyone go about this?? We were looking at buying a new set of spec books (Volumes 1.01, 1.03, & 1.04 cover our needs) from ASTM but they are expensive, and in my view would be obsolete in a couple months.
What does everyone else use?
I have also heard of a few websites out there that can do all of this for us, but they are also expensive.

I feel your pain, but that's the cost of doing business. You don't want to get caught with obsolete standards. The cost of nonconformities would far exceed the investment in up-to-date standards. There is no other way around it other than "borrowing" standards. Begin by verifying that you have the latest versions and then decide which ones you must purchase.

Do you know of an easy way to make sure that we always have the latest and greatest?
Would you buy the yearly edition of the books, or individual standards?
We are a fairly small company (less then 50 total employees), so if there is anything easier then checking every few weeks for any revision I am up for suggestions!!

I don't know if there is an "easy way", but here is an example of an organization that can do this for you. I have no idea what this service would cost. Worth checking though.

Stijloor, thanks for your help :thanks:! I have quoted the books, about $650/year. And the first service you listed I have also quoted, and it is about $1500/year.

I was just playing around on the ASTM site last night and found this:

Unless I hear more ideas what I will most likely do is to order the 2009 set of books (electronic edition), then just sign up for the free email service listed above, and just purchase the ones that are updated separately to add to our library.

Can you purchase individual specification without purchasing the whole book (that will have mostly things you don't need?) I no longer do the ASTM controls, but I was thinking that in my last plant we looked into that but decided the cost of the individual specs ended up higher than purchasing the books we needed with automatic upgrades. (we use lots of specs from the ASTM books:lol:)

I have not looked at all the specs we need in a while. Last time I looked it was about the same cost if we got the books with all the specs, or just the specs we needed.

Your last line is what caught my eye, "with automatic upgrades", does that mean you were sent new specs when it was upgraded? Or just purchase the new books each year? If I read correctly the books were good for a year, then they become obsolete as multiple items might have changed. If you only use the books could you still be caught with obsolete specs? I would have to think that things change throughout the year and would make items in the book obsolete, would you then need to buy that new spec, or just wait to get the new book?

The more I dig into this the more questions that keep coming up!!:frust:

We had an ASTM member on staff. We had a blanket PO agreement that whenever a book was updated, we'd get a copy and be billed for it. (I know that not every company has that luxury, but it was really nice)

These specs will be subject to copyright. Your customer should be advising you what specs you should be using to make the parts to, advise them to purchase the specs through the official sources.

How you ensure that you are working to the latest spec is a different matter.

The customer has a copy of them as well (they are a very large company), but they want to make sure that we use the latest and greatest. This is to help them ensure that we are doing everything correctly, and that if there is ever a question as to if we used ASTM standards or SAE standards the info is right there in the PPAP.
The customer is advising us to use a certain kind of steel, as in "Per ASTM A656" but that is all, they do not have revision or date of the ASTM document. They are trying to make sure we are comparing apples to apples.
