Ideally, you get them to tell you: some of the organisattions now have a 'notify me' feature that you can sign up for (via the web), which is good because saves you having to go and find out. eg, SAI's
'Standards Watch' - you don't even have to be a customer to use it.
If you can't / don't want to use something like that , you'd need some kind of schedule, or perhaps impose a regular check. Or even write into the procedure 'check it's current'.
Some companies have someone designated to do that, who stamps it as 'checked on <date>'. In the old days, it was probably called a librarian.
