Training Planning - Using Summary Sheet for Documenting Training Activities

Hi all,

Our company develops software for the medical device manufacturers. We are certified against ISO 9001 and ISO 13485. This year we were audited by our certification body and received several recommendations. One of these recommendations makes me confused. It is related to training process: “Yearly training (other than SOP related training) is documented in the different employee’s evaluation sheets, however there is no summary sheet showing schedule and authorization of the yearly planned / performed training activities”.

I can see no value in combining all types of training documents (I mean training plans, training needs and training records regarding all kinds of training activities performed in our company) into the one summary document.

In our company training-related activities may be performed by different departments. For example HR department maintains records on work-related training activities, Development department maintains records on project-related sets of training (on each project we have different training needs) an so on. Thus it seems complicated to maintain all types of records in the same document. But maybe I’m wrong.

Could you please help me to understand are there any benefits in using such a summary document taking into account that it is time consuming task to keep it up to date?

Hi Charley,

I maintain our training records (only 26 people) as part of our QMS and have a very simple summary sheet indicating whether any training has been identified for the coming year for each person. In my case it shows the auditor that I comply with my training procedure i.e. that a yearly review is conducted (and recorded). This is easy for me because the records are in one place (a file drawer) and easy to control! Maybe that is where they are coming from, depends on what it says in your procedure.

SteveK has hit the nail on the head. :agree1: The recommendation was, I think a poorly written point that the organization performed regular training, but nothing could be found showing how the organization identified what training would be needed. Planning, execution, effectiveness. They apparently saw the execution bit, but not the planning.

It doesn't have to be a summary. Some people use a matrix, which is very simple to amend and completion dates can be entered in for instant visibility of who's on track and who is not. The right method is the method that works for your group.
