What are the requirements for having documented hiring standards?

We just got gigged on an assist audit for not having documented hiring standards as it relates to the candidate. We do have what the candidates duties and responsibilities are and it is documented! What do I need to correct? The auditor said I need hiring standards or classifications for each type of position from the CEO to the janitor?

It all relates to 6.2.1 and 6.2.2 "competency" I'll bet. How do you ensure it? What are the job requirements and how are they met by the workforce (this includes the CEO)?

Of course everything is relevant to customer satisfaction and individual Roles people play.

Most organizations actually fail miserably in this endeavor and are "allowed" to slide by with having a job description, org chart and a training program.

I agree with Randy.

It would be easy to overthink this subject, but somehow the question of how the person hired fits into the quality system should be addressed. This article goes into some depth on the subject.

Yes, I agree with the gang here. Besides knowing what the job candidate will have to do, you need to have some "prerequisites". High School diploma or GED. 4 year college degree minimum. Drivers license? 5 years experience in a related field. These are usually the things that are put in an ad to give candidates some info on minimum requirements.

What does "gigged" mean?

What is an "assist audit?"

What is a "hiring standard?"

I assume this was an ISO 9001 audit since you posted in the ISO 9001 forum?

Will you provide us with the exact wording of the gigging? The exact wording may help us help you.

Based on what you have provided, the auditor's feedback sounds a little too prescriptive in terms is telling you what to do and not describing the basic requirement that is not fulfilled.

You need to identify the "skills and competencies" for each position. The standard is pretty clear on that. It does not necessarily require you to apply those "skills and competencies" to hiring, although to Randy's point, it certainly would be obvious to do so.

Technically, the standard doesn't address who you can hire, but it requires that the hired folks must be competent to perform the tasks you assign them to do.

So, technically, you can hire anyone you want, including the boss' sister's idiot nephew...:)notme: )... but he can't do anything he is not competent for.

Oh, he could do it, just look at some of the folks running major corporations here in the US today

I was kind of thinking tongue-in-cheek of a real audit situation when I was writing that comment.

I was auditing a privately owned company, and ran across the manager of a particular department who probably couldn't even spell "department," let alone tell me what his department did. So, I had a moment where I asked one of the supervisors what was going on.

Turns out, he was the boss' sister's Nephew or something. "Clueless," said the Supervisor, "but what can we do? He's our boss."

I asked how they resolved it. They said he usually went golfing and stuff, and so when he wasn't around, the supervisors just made sure the work was done right.

I said, "so it seems like we're saying the same thing. He can have whatever title his uncle wants to assign him, but the people need to understand what the real processes and procedures are and who makes the real decisions."

As I recall, they had their share of nonconformities in that audit, and it was one of the few where I was not invited back...

Heck of a way to run a company...:truce:
