What document will indicate the date the QMS became effective?

Hello All,

Kindly throw some light on the issue... n also excuse me for posting in jumbled words... but i am lost!

We are almost done with the documentation and stuff. Our policy is ready n so are our procedures n forms. Now comes in the loss.... i am to prepare some kind of a document (is it called a letter, memo or simply minutes?) that will indicate from which date the QMS is effective ...

PLz fill in the specifics...

Hi doreme, and welcome to the Cove :bigwave: Don't worry about being lost, it happens to all of us every now and then (Particularly to me :) ). First, I think we could use a bit more information:

When you say that policy, procedures and forms are ready: Do you mean that they (the system) are in actual use already, or just ready for launch? That makes a big difference as far as the date is concerned.

Who is the message aimed at (Internal and/or external)? The board? Internally a mail should suffice, but externally you would need a more formal letter.

What kind of system are we talking about? Environmental? Quality? Just curious...

What about some type of statement/letter in the policy manual stating that the system is in place and operating as initially planned. after that we stray into the area of continuous improvement.

How about some examples of your current thoughts?

Thats it, i knew i was missing something :bonk:.... well the system is ready for launch.

internal refers to my colleagues and external to the 3rd party we do business with right? if that is so, then its internal i am talking about....

I was briefed that the board would come together and then acknowledge the system to be launched. that would mean there is a 'minutes' in the scene. now we didnt know whether the date of launch goes into the minutes, or its stated in some specific form for filing (it is one of the quality record, right?).

so i should say we havent come to the stage of mailing... only after all signatures are in place do we plan to staff mail...

this is how we have got around the issue for the present. we drafted a letter & sent it to the signatory stating that the policy doc and procedures come into effect from so n so...

just wanted some backing to know if we are heading right...

Internal audits & MRM

Internal Audits and management review reports/meetings/minutes.
Why?
Internal audits record the state of compliance with QMS/policies/etc.
Therefore they cumulatively tell you when nirvana has been achieved.
Your periodic QA-type report will then advise this fact to the circulation list.

Every case is different. Define what is intended by "the QMS is implemented" in your report/s (Hey, it could even be a newsletter). Then advise ETA, and then actaul arrival.

E.G. When all dept's/areas/processes have been audited without a major nonconformance to the Quality Policy/Manual/whatever, the QMS will be deemed successfully implemented.
Or make it easier - suit yourself.
