What is a Quality Management System?

Hi, Good Afternoon, i am working as a production planner and trainee as Production Manager in a manufacturing firm that produces plastic film for food packaging (primary wrapper and secondary wrapper. Can someone explain to me what is Quality Management System is?

A quality management system (QMS) is defined as a formalized system that documents processes, procedures, and responsibilities for achieving quality policies and objectives. A QMS helps coordinate and direct an organization’s activities to meet customer and regulatory requirements and improve its effectiveness and efficiency on a continuous basis. Quality Management system is management system which demonstrate the ability of satisfying to the customer and applicable statutory and regulatory requirements in line with products and servicing standard.
By adopting any one of Quality management system like API Q1 or ISO 9001 the organization will able to compliance the customer specific requirement.

Any time you want to do something, you probably start with asking some absolute basics. For example, if you wanted to start gardening, you probably have a rough idea that you'll need plants or seeds, soil, sunlight, temperature, water, etc. You might not know what the right amount of sunlight you need for a specific plant, but you know that's something that'll probably be important. You might not look it up, and you might get lucky and put your plant in the right spot for it to flourish. However, if you've got a plant that isn't doing well, it's one of the first things you might check.

A Quality Management System is all those things for a business. It's sort of a collection of agreed-upon best practices for ensuring that you're putting out acceptable product. You need to document things that are vital in a business. You need to continually improve in a controlled manner. You need to investigate problems and come up with effective preventative and corrective actions. You need to control your purchasing processes. You need to comply with relevant regulations. You might get away with not doing some or all of these things for some length of time, but eventually, they will become a problem.

Now let's say you were going to open a plastic film plant from scratch without a quality management system. You'd run into an issue where everyone is doing the job different, and you'd start documenting procedures to get everyone on the same page. You'd have some bad product that got mixed into an outgoing shipment, and you'd need to start identifying product in the line and controlling nonconforming product. Someone might buy some cheap plastic raw materials to save the company a buck, but it might not be food safe - customers could get sick. You'd almost definitely run afoul of national or international regulations eventually.

Assuming your company survived, you would eventually build a Quality Management System by reacting to each problem, but you didn't have to learn everything in the school of hard knocks. There's standards that have been built from decades of experience on how to avoid the basic pitfalls. Especially when your business does something with the chance to harm the consumer (food, drugs, cosmetics, medical devices, aerospace / automotive, etc.), there's an imperative for a QMS to control the most common kinds of problems that crop up.

I come from the school where one should not use any part of the term in the definition of the term - in other words, one should not use 'quality', 'management,' or 'system' when defining 'quality management system.'

With that perspective, a QMS is a collection of standardized business processes that are aligned with your organization's purpose and direction, while focusing your organizational resources on consistently meeting requirements (e.g., customer and, where applicable, statutory and regulatory).

Chances are that if your company is growing and profitable because it already consistently fulfills the requirements of more and more customers that it works as a quality management system comprising its interacting processes driven by top management’s unifying policy and objectives.

Some companies choose to make sure their quality management system fulfills the requirements of the international standard ISO 9001 to further boost their sales. They may even obtain accredited certification of this fact to win or keep the confidence of new and existing customers.

Your quality management system should help top management and your colleagues to take opportunities to profitably find and serve more customers while managing risk.

As you can see tonisan, this is a very expansive question.

Most people will have an answer, and most people's answers will lean towards aspects that are pertinent to them.

There is no one definitive answer, and that is mainly because it is whatever you want/need it to be to satisfy your and your customers requirements. And if you are also complying with ISO9001 you will need satisfy those requirements too.

Do you have a more specific question about specific aspect or some aspects of Quality Management Systems, or did you just want the looking down from 10,000 feet answer?

These are standards, not systems.

I would not suspect that an innocent question would trigger all the insightful answers we got so far.

in my mind, and in colloquial language, I define a QMS as a subset of how an organization runs its business processes focusing on the need for the products and orders to comply with all applicable requirements and foster satisfied customers.
